Sabam: From complex financial flows to a harmonized platform

Modernizing Sabam’s financial backbone

Sabam is the Belgian association for authors, composers, and publishers. It manages the rights of more than 41,000 members across five fields: music, film & television, theater & dance, visual arts, and literature.

The company approached us to replace part of their existing financial system. Their goal was to work more efficiently, modernize their accounting platform, standardize as many processes as possible, and ensure compliance with legal requirements such as withholding tax calculations and Peppol invoicing.

Sabam’s financial environment is anything but straightforward. Royalties are collected through various channels and distributed to artists according to a specific distribution key. This existing royalty system needed to be integrated with the new financial platform, which would handle general accounting, artist payments, and invoicing.

To ensure we delivered a solution that met Sabam’s needs, budget, and timeline, we followed our ABC approach: Analysis, Blueprint, Construction, and Dedication.

Analysis: workshops for every requirement

To gain a deep understanding of Sabam’s requirements, we started with around a dozen workshops. Each session focused on a specific requirement, allowing us to determine which challenges could be addressed with standard functionality and where customizations would be necessary.

During these workshops, we worked closely with Sabam’s experts to identify the best solutions for their unique processes and business model.

Blueprint & construction: building a strong financial foundation

After completing the workshops, our team translated the insights into a clear solution blueprint. We refined and validated the design until it fully aligned with Sabam’s requirements.

Next came the construction phase, where we worked in sprints using proven templates, workflows, and integrations. This approach created a strong framework for Sabam while saving time and reducing costs.

At the end of each sprint, we organized a demo session so Sabam’s experts could test the solution and provide feedback. This agile approach enabled continuous feedback, strengthened collaboration, clarified expectations, and ensured efficient project delivery.

Once the construction phase was completed, we organized a User Acceptance Test (UAT). During this phase, real users from Sabam’s finance department worked with the new system and tested it thoroughly. After final approval, the system went live.

Dedication: long-term support
